The Procurement team identifies researches and evaluates suppliers that meet the organization's standards of price, quality, timing, and reliability of supply. Recognizes and evaluate sales, promotional campaigns, and other opportunities to secure reduced prices. Assesses supplier's products to ensure that they comply with specifications and meet the organization's quality standards.

This role in summary

The purpose of this Global Strategic Sourcing (GSS) CoE Purchase Order Administration Owner role is to manage all aspects for the Direct Purchase Order Requests in the Global Strategic System (GS3; management of system utilization and request submissions for creation and updates to Supply Agreements, Spot POs, Farmout, etc and providing support with single / multiple part number updates, mass uploads, testing, and workflow approvals on an as need basis. The role owner will support the GS3 POR Module; support the execution of the strategy and roadmap; support enhancements; submit tickets to address RPA issues and manage and govern the GS3 POR Business exceptions. The overall goal is to drive tool optimization and improvements within Global Strategic Sourcing Tools Platform to improve overall usage and user experience within our Global Strategic Sourcing (GSS) Organization, which will reduce costs and maximize efficiency. The candidate will also support Request for Quote (RFQ) activities using the GS3 e-Sourcing Module, pulling drawings and specification from the Windchill application and creating an RFQ package. Occasionally, the candidate will be required to follow up with the suppliers to obtain quotes and collaborate with the Commodity Business Teams. The candidate will also upload contracts into the GS3 Contract Module ensuring compliance with GSS policy. The candidate will also be responsible for Vendor Master Maintenance requests made by GSS, ensuring requests are resolved in a timely manner.

The candidate for this role must have the ability to be a strong leader to manage initiatives and cross-functional process partners without direct people leadership with the responsibility to deliver results. The person must have the ability to analyze data to determine “where to work” and use it for key business decisions. Key groups this role interacts with includes: GIS, Plant Personnel, GSS process partners, and sometimes cross-functional category process partners. It is an expectation that the person in this role can execute and meet deadlines with a focus on system tool utilization, operational execution, and clear communication with GSS commodity and sourcing operations and cross functional business partners. The ideal candidate will possess the right balance of strategic thought leadership and operational excellence.

Your responsibilities will include

  • Accountable to ensure the completion of all New Part New Model, New Part Replacement Part, Purchase Order (PO) Price Changes and Non Purchase Order (PO) Price Change requests that are submitted via Global Strategic Systems (GS3) POR System.

  • Address and complete all Business Exceptions created by the Robotics Process Automation (RPA) Bot. Ensure proper data submission in SAP.

  • Provide support and execute AdHoc requests from Whirlpool Plants personnel and/or material planners to create and/or print AdHoc Requests; ie MX SPot POs, DPID/DPIP InfoRecord Creations, Expired Line creations, etc.

  • Manage SAP and GS3 POR related issues and updates

  • Updates to CBT and Buyer Tables in SAP and GS3.

  • GS3 POR User Account Administration and Technical Troubleshooting within SAP for SA

  • SAP Supplier & Employee Vendor Administration, Data Transfer and Management

  • Supplier Supply Agreements (SA) Management with Technical Troubleshooting and Issue Resolution

  • Role/Profile Verification for GS3 Buyer Commodity and Director levels

  • Support software launch readiness situations with test data submissions and testing execution.

  • Support Request for Quote (RFQ) activities, pulling drawings and specifications from Windchill and creating an event in the GS3 e-Sourcing Module

  • Uploading Contracts into GS3 Contract Module

  • Execute Vendor Master Maintenance requests from CBTs in the GS3 VMM Module

Other Responsabilities

Continuous Improvement and Project Execution:

  • Drive Continuous improvement on existing Procurement Ivalua GS3 POR Module.

  • Daily project management of submitted requests via GS3, Plant or AdHoc to ensure all priorities and key objectives are met.

  • Assist less experienced Business stakeholders with situations and process questions

Cross-Functional Collaboration:

  • Collaborate, interact, and work with Procurement stakeholders and cross-functional teams as needed to drive/achieve success.

  • Act as the key Procurement agent to connect with Information Technology (IT) team contact to translate Business needs into Procurement software.

  • Coordinate internal deliverables to Business Stakeholders – User Experience, Training, Change Management

Minimum requirements

Education:

Bachelor Degree (supply chain, business, engineering, operations or related)

Work Experience:

1+ years experience in procurement systems / sourcing and/or quality

Technical/Product Knowledge:

SAP, Google Enterprise Tools, Ivalua GS3

Other Requirements (certifications, licenses, etc):

  • Demonstrated use of project management skills

  • Strong Communication skills.

  • Proven negotiation and conflict resolution skills.

  • Demonstrate mastery of building strong relationships with internal process partners.

  • Manage ambiguity via moderate analytical skills, critical thinking, and business acumen.

  • Ability to work with multifunctional & global teams to drive results.

  • Ability to apply Continuous improvement and change management across workstreams.
